1. Overview
ThreadMap is an email relationship intelligence platform. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data. We take your privacy seriously, especially when it comes to your email data.
2. Data We Collect
Account data: Your name and email address, collected when you create an account.
Gmail data: With your explicit consent via Google OAuth, we access up to 500 of your recent Gmail messages. For each message we read the sender, recipients, date, and — for emails from contacts — a short excerpt from the end of the email body (typically an email signature block) in order to extract job title, company, and department information. We do not store raw email body content. Only the derived contact attributes (name, title, company, department) are saved to our database.
Contact data: Names, email addresses, companies, job titles, departments, communication frequency, and relationship sentiment scores derived from your Gmail data.
3. How We Use Your Data
We use your data solely to provide the ThreadMap service — specifically to:
- Build and display your contact relationship map
- Extract contact details (title, company, department) from email signatures
- Calculate relationship health scores and sentiment
- Surface insights about your communication patterns
We do not use your data for advertising, and we do not sell or share your data with third parties.
4. AI Processing
To extract contact information from email signatures, ThreadMap uses Claude, an AI model operated by Anthropic, Inc. Short signature excerpts (up to 600 characters) from relevant emails are sent to Anthropic's API for processing. These excerpts are used solely to identify contact attributes such as job title, company, and department. Anthropic's data handling is governed by their Privacy Policy. Raw email content is not stored by ThreadMap after processing.
5. Google API Data
ThreadMap's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We only access Gmail data with your explicit permission
- We use Gmail data only to provide the ThreadMap service to you
- We do not transfer your Gmail data to third parties, except as described in Section 4 (AI Processing)
- We do not use Gmail data for advertising purposes
- Raw email body content is not stored after contact extraction is complete
- We do not use data obtained through Google APIs — including Gmail data — to develop, improve, or train any generalised AI or machine learning models.
You can revoke ThreadMap's access to your Gmail at any time via Google Account Permissions.
6. Data Storage and Security
Your data is stored securely using Supabase (PostgreSQL). We use industry-standard encryption in transit (HTTPS) and at rest. We retain your data for as long as your account is active. Upon account deletion, your data is removed within 30 days.
7. Third-Party Services
We use the following third-party services to operate ThreadMap:
- Clerk — authentication and user management
- Supabase — database storage
- Vercel — hosting and deployment
- Anthropic — AI processing of email signature excerpts for contact extraction
- Stripe — payment processing
8. Your Rights
You have the right to access, correct, or delete your personal data at any time. To request data deletion or export, contact us at obilleh21@gmail.com.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or via the app. Continued use of the Service after changes constitutes acceptance.
